The owners of Lub-Okna Sp. z o.o. noticed that their salespeople were losing too much time explaining the same technical parameters to each client individually. The process from the first quote to the deposit payment dragged on for weeks because people were afraid to make a decision without clear information. We introduced concrete changes in the documentation that made it easier for clients to choose.

The challenge

In December 2023, we measured that the average transaction closing time was 26 working days. The main problem was the chaos in offers sent by email – each looked different and contained too much technical jargon. Salespeople received an average of 5 follow-up calls from each interested party, which took them 16 hours of work per month. Due to the lack of clear answers at the start, 14% of potential clients gave up on purchasing after receiving the first quote.

Our approach

In January 2024, the Synergia Lublin team entered the production hall and sales office at ul. Mełgiewska. For 19 hours, we observed how salespeople talk to people and what causes the greatest problems when choosing windows. We caught 23 specific questions that were repeated in every other conversation. We bet on facts and simple messaging, rejecting unnecessary descriptions that interest no one.

The solution

We prepared a system of 12 clear PDF product cards and a physical catalog with a volume of 44 pages. Each window model received a simple table with three key parameters: tightness, thermal insulation, and price. We also added a 'what you get in the price' section, which eliminated hidden assembly costs. The whole thing was written in simple language, without using difficult terms that only scare buyers.

Results

After implementing the new materials in April 2024, the time from sending an offer to signing a contract shortened to 18 days. Salespeople now have more time to look for new orders because they no longer have to explain basic matters over the phone.
