Terms of Service for Synergia Lublin
1. General Rules and Cooperation
This document is a collection of clear rules on which we work at Synergia Lublin. We don't like fluff, so we write specifically. Since September 2017, we have been helping manufacturing plants look professional in front of contractors. If you use our site or order an audit, catalog design, or sales support from us, you agree to these terms. Our headquarters is located in Lublin at ul. Krakowskie Przedmieście 4. Here we make decisions and from here we set off to our clients' production halls. These terms define what we deliver and what we expect from you as an owner or manager of a manufacturing company. We take our work seriously and expect the same from business partners. We are not looking for one-offs, but for a real impact on your financial result.
These rules apply to everyone who enters into a business interaction with us. Regardless of whether you order a one-time Audit Start for 2,450 PLN or decide on permanent B2B support. Every cooperation begins with establishing specifics. We do not start work until both sides know what needs to be done. Our team, including Marek Wójcik and Piotr Lubelski, works according to proven methods. If we promise something, we deliver it within the agreed timeframe. Usually, we respond to emails in 2 hours and 14 minutes because we know that in production, time is money. These terms are intended to protect both parties and ensure no one wastes energy on misunderstandings.
2. Our Services and Deadlines
At Synergia Lublin, we don't do everything. We focus on what we know: image audit, catalog design, sales strategy, and industrial photography. Each service has its own time frame. We deliver Audit Start within 48 hours of visiting your plant or receiving a complete set of data. Designing technical B2B catalogs usually takes us from 11 to 18 working days. This is the time needed for reliable technical copywriting, processing machine photos, and arranging tables with parameters so that the engineer on the other side immediately knows what they are buying. We do not speed up these processes at the expense of reliability. Proven on the shop floor – that's our motto, and haste on the production hall rarely ends well.
We realize photography services without stopping your production line. Our photographer knows how to move between machines so as not to generate downtime. If we agree on a session, you must provide us with safe access to the places we are to show in the offer. In the case of B2B sales strategy, we work in the form of sprints or regular workshops. We teach your salespeople how to talk about margin, not discounts. We don't give ready-made magic solutions, but concrete tools and scripts that have worked for 142 of our existing clients. Punctuality is sacred for us. If we are late, you are the first to know. If you are late with providing product parameters, the catalog delivery deadline moves automatically.
3. Client Obligations
In order for us to do good marketing for your production, we need facts. Facts on the table: you must provide us with true technical data, drawings, and information about your machinery park. If your company looks different on the website than in reality, our consultants will catch it during the audit. It is your duty to provide us with a contact person who knows the products and can quickly approve technical texts. In B2B, precision counts. If we mistake a bolt diameter or controller power in a catalog because we received incorrect data, we do not take responsibility for it. Cooperation with us requires your commitment, especially at the discovery call and project kick-off stages.
In the case of photo sessions, the plant must be prepared. We do not clean halls for you, but we will suggest what to remove from the frame so that the company looks professional before a contractor from Germany or France. Health and safety is a priority. Our people follow your internal safety rules, but we also expect you to point out hazardous zones to us. If you ordered B2B support, your salespeople must participate in the planned workshops. Without their participation, no strategy will work. Marketing in industry is a team game – we give the tools and the plan, you give the knowledge of your product and readiness for changes in the way of selling.
4. Payments and Settlements
The prices of our services are clear and given in net amounts. Audit Start costs 2,450 PLN. Catalog Pro starts from 5,800 PLN. We do not use hidden fees or asterisks in contracts. For one-time projects, we usually issue an invoice after completing a stage of work or according to the schedule established at the start. In the case of permanent sales support, we settle in the form of a monthly retainer of 3,200 PLN net. Payment is made on the basis of a VAT invoice with a term of 7 or 14 days. If you are late with payment, we suspend work on subsequent stages. We respect your time and money, so we expect the same in return.
Any additional costs, such as catalog printing or renting specialized equipment for photos (e.g., lifts), are determined in advance and require your consent. We do not operate on a fait accompli basis. If during work on the catalog you decide that you want to add 50 new products that were not in the original plan, we will do it, but we will charge a fee for additional work hours. All overtime rates are known before the project starts. Facts on the table: you pay for the real work and experience of people who know how to sell a technical product. We do not take money for fluff in reports that no one reads.
5. Intellectual Property
Everything we create for you – catalog graphic designs, technical texts, photos of halls and machines – becomes your property upon payment of the final invoice. We grant you a full license to use these materials on the Internet, in print, and at trade shows. Until then, all copyrights belong to Synergia Lublin. We do not agree to the use of our preliminary concepts and designs before they are paid for. If we point out errors on your site during an audit, you can fix them yourself or with us – the knowledge we pass on to you in the report is for you, but you do not have the right to resell it to other companies as your own methodology.
Our proprietary work methods, such as the production image audit system or sales scripts for B2B salespeople, are protected. You can use them within your company at will to increase profits. You cannot, however, share them publicly or pass them to the competition. Photos taken by Piotr Lubelski may be used by us in the Synergia Lublin portfolio (unless we sign a confidentiality clause due to the technological secrets of your plant). We understand that some processes on your hall are secret. We always ask what we can photograph and what must be hidden from outsiders' eyes. Reliability is also discretion.
6. Responsibility and Guarantees
We know manufacturing and know that marketing is not magic. We do not guarantee that your turnover will increase by 100% in a week after changing the catalog. We guarantee, however, that your plant will look professional and credible in the eyes of buyers from large companies. Our actions, based on data from 142 clients, statistically bring an increase in inquiries from abroad of about 34% in the first months. However, the final success depends on your product, price, and how your salespeople close deals. We give you the best possible weapon in your hand, but you must pull the trigger. We are not responsible for financial losses resulting from wrong business decisions made on the basis of our analyses.
We do not take responsibility for production downtime, unless it results directly from the gross negligence of our employees during the session (which has never happened in 7 years of operation). Our financial responsibility is limited to the amount of remuneration for a given stage of the project. If we mess something up, we fix it within the price. We are not afraid to admit a mistake because in industry, truth counts. If a technical description of a machine contains a substantive error that you report to us before printing, we will correct it without discussion. After the acceptance of files for printing by your side, responsibility for the content passes to you. Therefore, we always ask for a thorough check of the parameters by the lead engineer.
7. Termination of Cooperation
Every project has its end. Cooperation on projects such as a catalog or audit ends with the delivery of finished materials and payment of the invoice. In the case of permanent B2B support contracts, a 30-day notice period applies with effect at the end of the calendar month. We can terminate the contract with immediate effect if you grossly violate the rules of cooperation, e.g., you don't pay on time or hide key information about the company's condition that affects our legal security. We want to work with people who play fair.
If you decide to interrupt the project during its duration, we settle for the work actually performed. We do not return paid deposits if preparations for the session or work on the strategy have already started. We understand that situation in industry can be dynamic – a machine failure or a change of owner can turn plans upside down. In such situations, we sit at the table and look for a solution that does not harm either side. Facts on the table: we are human and know that life writes various scenarios, but we respect our time and the operational costs incurred.
8. Law and Courts
We will try to resolve all disputes amicably over coffee in our office in Lublin. We believe that conversation is the best tool in B2B. If, however, we fail to reach an agreement, the dispute will be resolved by the court competent for the seat of Synergia Lublin. Polish law applies. All provisions of these terms are in accordance with the Civil Code. If any of the points turns out to be invalid in light of new regulations, the rest of the terms still remain in force. We operate transparently and in accordance with the law because that is how trust has been built in industry since September 2017. These terms are the foundation of our common, solid work.
